The type of information we have
We currently collect and process the following information:
About the referrer:
• Name
• Job title
• Organisation details
• Telephone number
• Email address
About the pupil:
• Name
• Date of birth
• Family Information
• Assessment data
• Special category information including:
• Nationality
• Health information including Special Education Needs/Disabilities/Behaviour
• Safeguarding information
• Information such as Educational, Health and Care Plans, reports and assessments from other services connected with the child.
How we get the information and why we have it
Most of the personal information we process is provided to us directly by the person requesting support. We may also receive information from other staff/services working with the child. The information is provided for one of the following reasons:
• To enquire about our services
• To engage us in working with an educational establishment
• To enable us to provide bespoke educational support services
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
• We have a contractual obligation.
• We have a legal obligation.
What we do with the information we have
We use the information that you have given us in order to:
• Respond to enquiries
• Fulfil contractual obligations to provide a service
• Liaise with other agencies as appropriate
• Comply with legal obligations
Special category data is required in order for us to ensure we are meeting a pupil’s needs. For example, we need to be aware of diagnoses and/or whether the child has English as an Additional Language in order to provide them with the appropriate educational support to which they are entitled by law.
Sometimes we need to share the information we have with other agencies involved with the child such as Speech and Language therapists, counsellors or Educational Psychologists in order to inform their work with the child.
We never sell information or give it to any third parties unrelated to the care of the child.
How we store information
Information is securely stored: for electronic data this is on password protected hardware and for paper-based data this is in a locked filing cabinet.
We keep information for as long as necessary in order to fulfil contractual, legal, accounting and reporting obligations. We will then securely dispose of your information.

Under data protection law, you have rights including:
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
